Scope
This policy explains what information the PartnerDesk website, the PartnerDesk bot and the PartnerDesk Utilities bot (the “Service”) collect, how we use it, and the choices you have. It applies together with our Terms of Service.
What we collect
When you sign in with Discord (scopes: identify and guilds):
- your Discord user ID, username, and avatar;
- the list of servers you are in, with your permissions there, so we can show the servers you manage.
Your Discord access token is kept inside a signed, HttpOnly cookie in your browser. It is not saved in our database.
When a server is set up: the server’s ID and name, the partnership channel, manager role and representative roles you choose, your advertisement template, an invite link, and whether the server is blocked. We also read the server’s approximate member count from Discord.
When partnerships are published: the advertisement text, the Discord message and channel IDs, the representatives’ user IDs and usernames, who created it and when, and whether it was later deleted.
Operational records: alerts (for example, a representative who left the server) and an audit log of actions such as configuration changes and partnership deletions, including the acting user’s Discord ID and a timestamp.
In the PartnerDesk support server:
- your Discord ID when you verify, plus the role changes that result;
- support tickets: who opened it, the ticket type, who claimed or closed it, and timestamps. What you write in a ticket stays in that private Discord channel and is removed when the channel is deleted;
- a moderation log, posted to a staff channel, of server activity such as joins and leaves, bans and kicks, role and nickname changes, message edits and deletions, voice activity, invites, channel changes and commands used. Message text appears in those logs only if staff have enabled it.
Website and system logs: a staff-only Discord channel receives events such as sign-ins and sign-outs (Discord ID and username), configuration changes, partnership deletions, verification results and server errors (request path, method and error details). The application does not record your IP address in these logs.
How we use it
- to run the Service: authenticate you, show the servers you manage, publish and track partnerships, assign roles, and show recommendations;
- to verify members, handle support, and moderate the support server;
- to keep the Service secure, prevent abuse and investigate problems;
- to meet legal obligations and enforce our Terms.
We do not sell your personal information, and we do not use it for advertising or profiling.
What other people can see
- Servers that finish setup can appear in other operators’ recommendations, showing the server name, an approximate member count and the invite link.
- Partnership posts are public to whoever can read the channel they were posted in, including the representatives you mention.
- PartnerDesk staff can see the operational records and logs described above.
How long we keep it
- Server settings, partnership records, alerts and audit logs are kept while the server uses PartnerDesk, and afterwards until you ask us to delete them. Deleting a partnership removes its Discord post and marks the record as deleted, but we may keep that record for audit purposes until erasure is requested.
- Ticket records are kept for support and abuse prevention. Ticket channels are deleted when the ticket closes.
- Moderation and website logs live in Discord channels and stay until staff delete them.
- Your session cookie expires after 30 days or when you sign out.
Your choices and rights
- Sign out from the dashboard, and clear your cookies at any time.
- Revoke access in Discord under Settings → Authorized Apps.
- Remove the bot from your server at any time to stop new data being collected for it.
- Ask us to access, correct, export or delete the information we hold about you or your server. Depending on where you live (for example under the GDPR or UK GDPR, or in California), you may have additional rights, and we will honour them. You can also complain to your local data-protection authority.

Legal bases (EEA and UK)
Where those laws apply, we process information to provide the Service you asked for (contract), for our legitimate interests in security, abuse prevention and moderation, to comply with the law, and, where needed, with your consent. Hosting providers may process information outside your country.
Security
The site uses HTTPS, signed HttpOnly session cookies and per-server permission checks. No system is perfectly secure, so we cannot guarantee absolute security, and we will tell affected people where the law requires it.
Children
The Service is not directed to children and may only be used by people who meet Discord’s minimum age. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy as the Service changes. The “Last updated” date above shows the latest version, and we will try to announce material changes in the support server.
